Share a dashboard with a person, team, role or everyone

Give view or edit access to a member, a team, a role or the whole workspace. Each viewer sees the numbers with their own permissions.

Before you start · for owners and managers
Edit access to the dashboard
  • You need: Edit access to the dashboard

Steps

1
Open the dashboard and press Share.
2
In Add a person, team or role, choose a member, a team or a role. For everyone, set General access to Everyone in the workspace.
Before you save, a preview shows how many members it will reach, and how many of them don’t have the dashboard view permission in their role.
3
Choose the level, Can view or Can edit, then press Invite.
4
For everyone: check the number of people, then press Share with everyone.
Raising an “Everyone” share to edit doesn’t need a new confirmation.
5
To change the level or remove a share: in the list, choose another level, or Remove access.

How it works

Sharing gives the right to open the dashboard, not to see records. A sales rep at the “If responsible” level sees only their own records’ numbers, even on the manager’s dashboard.

An editor sees the full list of people it’s shared with: everyone first, then members, teams and roles by name. A viewer only sees “Shared with N people”.

The warnings list shows, for each team, role or everyone share, how many members won’t see the dashboard because their role doesn’t have the view permission. Members are counted, not named.

Adding a share that already exists doesn’t change it. “Owner” can’t be given through sharing; ownership only moves by transfer (Transfer a dashboard’s ownership or delete it).

Removing a share takes effect from the member’s next request.

The workspace owner and super admins can edit every dashboard without a share.

What to do
“This member, group or role could not be found.”
They’re inactive, or not in the workspace.
Choose an active member.
“The owner already has full access.”
You tried to share with the owner.
There’s no need; the owner already has it.
“You’ve reached the limit of … shares.”
You reached the limit.
Share with a team or role instead of individuals.
You shared it and they still can’t see it
Their role doesn’t have the view permission.

A real example

Namaa Academy
The situation

The sales dashboard belongs to the director, and the sales reps need to see it.

What they did
  1. She shared it with the “Sales rep” role as view only.
  2. A warning showed: 2 members didn’t have the view permission. She added it to their role in Create a role and set its permissions.
The result

Each sales rep opens the dashboard and sees only their own numbers.

A made-up company, to show the idea. The numbers are rounded.

Good to know

Up to 100 shares per dashboard by default (10–500).
The two levels are Can view and Can edit.
