Invite a teammate to your workspace by email

Send an invitation by email, and choose your teammate’s roles in advance. They get a link that works for 7 days, set their own name and password or sign in with their existing account, and start with the right permissions.

Roles that fit your team or the two default roles

Steps

1
Open Settings → Members and choose Invite.
The Invite a teammate window opens.
2
Type the Email address.
3
Under Roles, choose at least one role.
4
Choose Send invitation.
The invitation shows under Pending invitations.
5
To renew the link, choose Resend invitation. To take it back, choose Revoke invitation.

What the invited person does

The invited person
What they do
Has no account
Opens the link, enters their name and a new password, and joins straight away
Has a Corteksa account (with any sign-in method)
Chooses Sign in to accept, signs in with the invited email, and joins

An expired invitation

After 7 days, the link stops working. Someone who doesn’t want to join can simply ignore the email. You may get one email telling you the invitation expired without a reply, so you can decide whether to resend it.

An invitation or a direct add

An invitation suits anyone you bring in: a new person sets their own name and password, and someone with a Corteksa account signs in with it. If you’d rather create the account yourself, with a password emailed to them, see Add a member directly with a password.

An invitation has no team. To put the person in a team, choose Edit user in their row once they’ve joined. See Create teams to turn on the Team-wide access level.

Roles stay correct

If a role is renamed before the invitation is accepted, the invitation stays valid. If the role is deleted, it’s only dropped from the invitation.

If something goes wrong

What you see
Why
What to do
“This link no longer works”
7 days have passed, or it was resent or canceled.
Ask for a new invitation.
The invited person sees “This invitation is for someone else”
They signed in with an email other than the invited one.
They choose Switch account, then sign in with the invited email.
“… is already a member of this workspace”
The person is already a member.
No invitation is needed. Change their roles from Edit a member, change their roles or deactivate them.
“You can’t grant a permission you don’t have”
The chosen role is higher than your permissions.
Ask the owner to send the invitation.

A real example

Shield Security Co.
The situation

4 field technicians joined, and each of them needs to see only their own visits.

What they did
  1. The manager created a “Field technician” role at the “If responsible” level on the “Visits” unit. See Create a role and set its permissions.
  2. He invited them by email with that role.
The result

Each technician sees only their own visits from their first sign-in, with no extra setup.

A made-up company, to show the idea. The numbers are rounded.

Good to know

The link works for 7 days.
1 to 10 roles per invitation.
One pending invitation per email, and resending cancels the old link.
The super admin rank can’t be given through an invitation.
Billing is based on the number of members. If the workspace reaches its member limit, the invited person can’t join until a seat is free: contact support to add more members. See Upgrade or downgrade your plan, and how members are billed.
Invitations can be accepted even while the workspace is in read-only mode.
