Set business hours and holidays

Create a business hours calendar with your days, times, holidays and time zone. Today, Corteksa uses it to auto-reply to WhatsApp calls, and to know whether the business is open right now.

The Business Hours permissions
  • You need: The Business Hours permissions

Steps

1
Open Settings → Business Hours, then choose New calendar.
2
Enter the name and choose the time zone. The workspace’s time zone is suggested.
3
Add each day’s hours under Weekly hours.
A day you don’t add any hours to counts as closed.
4
For a night shift, choose Add overnight shift (22:00 to 06:00) in the day’s menu, or enter two ranges: 22:00–24:00 on one day, then 00:00–06:00 on the next day.
5
Under Holidays, choose Add holiday and pick the dates, with an optional name. An Eid holiday is one entry.
6
Make it the Workspace default if WhatsApp call replies should follow it.
There’s only one default calendar. Choosing a new one replaces the old one automatically.

Each calendar’s status

Each calendar card shows “Open now” or “Closed now” and the next opening time, in the calendar’s time zone.

A session’s calendar

Every WhatsApp Web session follows the workspace’s default calendar. Deleting the default calendar leaves the sessions with no business hours until you choose a new default. See Make automatic call replies follow your business hours.

Editing at the same time

If a teammate edits the same calendar before you do, the message “Someone else changed these hours” shows, so choose Reload. Their edit isn’t overwritten.

Daylight saving time

It’s handled automatically. 9 AM stays 9 AM local time all year round.

If something goes wrong

What you see
Why
What to do
“Hours on the same day must not overlap”
Two ranges on one day overlap.
Change one of them.

A night shift entered as one range.
Split it into two ranges on two days.
“Some of these hours can’t be saved. Check them and try again.”
A holiday date is wrong, such as a start after the end.
Correct the date.
A new calendar isn’t saved
The workspace already has 50 calendars.
Delete an old calendar.
“Someone else changed these hours”
Someone edited it at the same time.
Reload, then make your change again.

A real example

Basma Clinics
The situation

Patients called after closing time and didn’t know when the clinic would open.

What they did
  1. The “Dammam” calendar: Saturday to Thursday, 09:00–13:00 and 16:00–22:00.
  2. They added the Eid holiday as one entry.
  3. They made it the workspace default, and set the clinic’s session to reply outside business hours. See Make automatic call replies follow your business hours.
The result

Anyone who calls after 10 PM gets a reply that tells them when the clinic opens next.

A made-up company, to show the idea. The numbers are rounded.

Good to know

Up to 50 calendars in a workspace, and one default calendar.
Up to 6 ranges a day, and up to 200 holidays.
A calendar name can have up to 100 characters.
Ranges can’t overlap, the end comes after the start, and each day is listed once.
Every member can see the calendars. Creating, editing and deleting them are separate permissions.
Automatic text messages outside business hours and response timers aren’t available yet.
