Lead ads: from the ad form to a ready record

Connect your Facebook, Instagram and TikTok lead ad forms to a Cortex Unit. Everyone who fills in the form becomes a record with their answers, their source, the form and the ad they came from, and is then distributed to your team on its own.

Before you start · 2 things · for owners and managers
A unit for leads, a Facebook Page you manage or a TikTok advertiser account
  • You need: View lead ads (to see them), and Connect lead ads (to set them up)
  • A Cortex Unit for leads, with the fields you want to fill in.
  • A Facebook Page you manage, or an advertiser account in TikTok for Business.

How it works

When someone fills in your ad form (Lead Form), Meta or TikTok sends an instant notification to Corteksa. Corteksa records the submission as an “entry”, then reads the answers, matches them to the unit’s fields, and creates the record within seconds.

Where does the client go after it’s created?

The client goes through the distribution rules like any new record with no owner, and any automations that start when a record is created run on it.

What the feature doesn’t do

It doesn’t import the clients who filled in the form before you connected it; only people who fill it in after connecting arrive. To import the older ones, download their file from Ads Manager and use import.

A real example

Namaa Academy
The situation

The “HR Diploma” ad brings in 40 clients a day, and the team downloads a CSV file every evening.

What they did
  1. They connected their Facebook Page and registered the form on the “Leads” unit.
  2. They mapped 5 questions, and chose the “Update Existing Record” policy, matching on mobile number.
  3. They left assignment to a distribution rule across 4 employees.
The result

The client reaches an employee within minutes instead of the next day, and the employee sees the campaign and the form on the record.

A made-up company, to show the idea. The numbers are rounded.

Good to know

Only people who fill in the form after it’s connected arrive; there’s no import of past entries.
TikTok clients don’t get the source or the ad fields filled in.
Submissions to a form that isn’t registered, or is turned off, are logged as “Skipped” entries and don’t create records.
