Which distribution rule wins? Most specific first, then priority

Rules are checked from the most specific to the most general, then by priority (the smaller number first). The first matching rule that has an eligible employee wins.

Lead distribution is a paid Add-on. If you can’t find it in your account, contact support to turn it on.

Specificity points

What’s in the rule
Points
Chosen sessions
+10
Each condition that must be met (AND conditions)
+5 per condition
An OR group
+5, once only
Groups combined with OR
The weakest group’s points
The unit
+1, always

Points are calculated on their own when you save. A rule saved before the OR calculation was updated keeps its old points until you edit and save it.

Example

Rule
Points
A: chosen sessions + two AND conditions
10 + 10 + 1 = 21
C: chosen sessions only
10 + 1 = 11
B: one condition, such as Source equals Facebook form
5 + 1 = 6

The order: A, then C, then B, whatever their priorities.

Priority

Priority decides between rules with equal points. Drag the rules to reorder them. A new rule gets the last priority.

The first match

If a rule matches, no one is eligible, and its fallback is “Leave Unassigned”, the engine moves on to the next rule. With “Assign to Default User” or “Delay and Retry”, it stops at this rule.

If something goes wrong

What you see
Why
What to do
A rule with priority 1 doesn’t catch clients
A more specific rule comes before it.
Add a condition or sessions to the rule, or remove the other rule’s limits.
The client went to an unexpected rule
More than one rule matches.
Try it in Test your distribution rules with a sample client to see all the rules in their order.

A real example

Namaa Academy
The situation

They worried that a general rule with priority 1 would catch the diploma clients meant for one particular employee.

What they did
  1. A “Diploma” rule with the condition “Course equals Diploma”, and priority 5.
  2. A “General” rule with no conditions, and priority 1.
The result

The Diploma rule (6 points) is checked before the general one (1 point), despite its priority.

A made-up company, to show the idea. The numbers are rounded.

Good to know

Priority only works between rules with equal points.
On an exact tie, the older rule comes first.
