Replacing the current owner when you redistribute

By default, manual distribution doesn’t change a record that has an owner. Turn on replacing the current owner to move it, and the previous owner and the reason are saved.

3 min

Lead distribution is a paid Add-on. If you can’t find it in your account, contact support to turn it on.

How it works

Setting
A record with no owner
A record with an owner
Replacing off (the default)
Distributed
Refused, or shown as failed in the batch
Replacing on
Distributed
Moved to a new employee

The option is available in manual distribution (Replace current assignment), bulk distribution (Reassign leads that already have an owner) and the automation action.

Distribution may pick the same owner again if it’s their turn; choose a scenario that doesn’t include them if you want to move the record away from them.

The change log records the previous owner, the new one, who did it, and the reason. And the new owner gets a notification.

A real example

Basma Clinics
The situation

An employee moved to another branch with 25 patients she was following up.

What they did
  1. The manager distributed them in bulk with the Dammam branch scenario, with replacing on and the reason “Transfer”
The result

Every patient moved to an employee at the branch, and the history is kept.

A made-up company, to show the idea. The numbers are rounded.

Good to know

Replacing doesn’t skip the eligibility check.
