Add conditions and AND/OR groups to a distribution rule

Conditions decide which clients the rule catches, based on field values. Gather them in groups, choose AND or OR for each group, then how the groups combine.

7 min

Lead distribution is a paid Add-on. If you can’t find it in your account, contact support to turn it on.

Before you start · for owners and managers
Create or edit distribution rules
  • You need: Create or edit distribution rules

Steps

1
In the rule, under Filters, press Add Filter Group.
2
Choose the Field, then the Operator, then the Value.
3
Press Add Condition to add more conditions to the same group, and choose AND (all conditions) or OR (any condition) for the group.
4
Press Add Filter Group again if you need another group, and choose how the groups combine: AND or OR.

Operators

Operator
Matches when
Equals
The value equals what you typed. In a multi-value field such as tags: the option is one of the record’s values.
Does not equal
The opposite of equals.
Includes
The text contains what you typed, or the set includes the option.
Does not include
The opposite of includes.
Is empty
No value. Text made only of spaces counts as empty.
Is not empty
There’s a value.

If you choose several values in a select field, “Equals” or “Includes” means: any one of them. And “Does not equal” or “Does not include” means: none of them.

Example

(City equals Riyadh OR City equals Jeddah) AND (Tags includes VIP): a first group with OR logic and two conditions, and a second group with one condition, with the two groups combined by AND.

How values are read

Values are read the same way as in views and automations: text without regard to letter case, numbers by their value (199.50 equals 199.5), and dates by the day in the workspace’s time zone.

A condition on a deleted or missing field never matches. Inside an OR group, another condition can still make the group match.

An empty group, or a rule with no filters, matches every client.

If something goes wrong

What you see
Why
What to do
The rule doesn’t match even though the value is right
The field was deleted or changed, or the select value changed.
Choose the field and the value again, and try it in Test your distribution rules with a sample client.
A message about a maximum of 50 conditions or 10 groups
You went over the limit.
Split the rule into two rules.
A rule with an OR condition loses to a narrower rule
This is on purpose: OR conditions count as their weakest branch.

A real example

Shield Security Co.
The situation

Government contracts need a specialized team.

What they did
  1. An OR group: client type equals Government or Semi-government.
  2. An AND group: contract value is not empty.
The result

Every government request with a value goes to the specialized team, and the rest go to the general rule.

A made-up company, to show the idea. The numbers are rounded.

Good to know

Up to 50 conditions in a group or list.
Up to 10 groups.
Only 6 operators.
