Set a default user so no client is left without an owner

If no one is eligible, the client is assigned to a user you choose, such as the supervisor, without checking their hours or capacity.

Lead distribution is a paid Add-on. If you can’t find it in your account, contact support to turn it on.

Edit distribution rules
  • You need: Edit distribution rules

Steps

1
Open the rule and, under Fallback, choose Assign to Default User.
2
Choose the Fallback Member. They must be active.
3
Press Save.

How it works

The default user gets the client without any check of their working hours or capacity, because they’re the last resort.

This assignment doesn’t count toward the Weighted Fair shares or the capacity count.

When the fallback assigns automatically, the distribution notification may not arrive, and the assignment may not show in the distribution log. Have the default user check a view filtered on “Assignee = me” every day.

In manual distribution through this rule, the client is also assigned to the default user, and the result shows that the fallback was used.

If you choose “Assign to Default User” without choosing a member, the rule works as if it were “Leave Unassigned”.
