Start an automation when a client sends a message

The trigger A message arrives starts the automation with every message a client sends on a channel you choose, and you can limit it to text the message contains.

A connected channel

Steps

1
Choose the trigger A message arrives.
2
Under Which lines?, choose the numbers and pages to listen on.
Pick at least one line.
3
Optional: under Only when it says…, type text the message must contain.
The comparison ignores upper and lower case. For example: “price”.
4
Add message conditions in Settings → Only records that… if you need them, such as the message language. See Conditions: operators, relative dates, messages and language.
5
Add the steps.

What triggers it?

Incoming messages from clients only. Your messages and your team’s messages don’t trigger it.

Messages in WhatsApp groups never trigger the automation, so the automation never replies inside a group.

Each different message triggers the automation once. The same message doesn’t trigger it twice, even if the provider sends it again.

The linked record

The automation runs on the record linked to the chat. A new chat may not have a record yet. See How a chat becomes a client record.

An action that reads or writes the record needs a channel linked to a unit. Conditions on the message text and the sender’s name, number and language don’t need a link.

Variables

{{message_body}} is the message text, {{sender_name}} is the sender’s name, and {{sender_phone}} is their number.

Reply in the same chat

In Send a message, choose The chat it came in on under Send from, so the reply goes to the chat the message came from.

If something goes wrong

What you see
Why
What to do
It didn’t run for group messages
Groups don’t trigger automations.
“The line isn’t linked to this unit”
An action needs a record, and the channel isn’t linked to a unit.
Link the channel to a unit, or use message conditions only.
It runs twice for two messages in a row
Each message is a separate event.

A real example

Basma Clinics
The situation

Patients ask about prices outside working hours.

What they did
  1. The trigger A message arrives on the clinic’s WhatsApp number, with text that contains “price”.
  2. A message language condition: Arabic or English, with a path for each language.
  3. A Send a WhatsApp message step with the price list in the patient’s language.
The result

The patient gets the prices right away, in their own language.

A made-up company, to show the idea. The numbers are rounded.

Good to know

The same message triggers the automation only once within 5 minutes, however many times it repeats.
The message text saved with a waiting run is cut at 4,096 characters.
