Every formula function, with an example
Everything you can write in a calculation field and a smart default value: operators, comparisons, conditions, and every function with an example.
The basics
Element
How to write it
Example
Field
Its internal name in curly braces
{amount}Number
As it is
15 or 0.15Text
In double quotes
"Direct"True/false
true or falsetrueArithmetic
+ - * /{qty} * {price}Grouping
Regular parentheses
({a} + {b}) * 2Comparison
== != > < >= <={total} >= 1000Combining conditions
AND and OR between two conditions{a} > 0 AND {b} > 0+ only adds numbers. To join text, use CONCAT. To negate a condition, use !=.
Conditions
Function
Description
Example
Result
IF(condition, if true, if false)Picks a value based on the condition
IF({total} > 50000, "Needs approval", "Direct")“Needs approval” if the amount is over 50,000
COALESCE(a, b, ...)The first value that isn’t empty
COALESCE({discount}, 0)The discount, or zero if it’s empty
Numbers
Function
Description
Example
Result
ROUND(x, places)Financial rounding: halves round away from zero
ROUND(100.125, 2)100.13Negative places round to tens and hundreds
ROUND(1250, -2)1300CEIL(x)Up to the next whole number
CEIL(4.1)5FLOOR(x)Down to the previous whole number
FLOOR(4.9)4ABS(x)The absolute value
ABS({balance})The balance without its sign
MIN(a, b, ...)The smallest value, ignoring empty ones
MIN({offer}, {budget})The lower of the two
MAX(a, b, ...)The largest value, ignoring empty ones
MAX({paid}, 0)Zero if the amount paid is negative
ROUND without places rounds to a whole number: ROUND(2.5) gives 3, and ROUND(-2.675, 2) gives -2.68.
Text
Function
Description
Example
Result
CONCAT(a, b, ...)Joins any number of values as text
CONCAT({first_name}, " ", {last_name})Ahmed SalehLENGTH(text)The number of characters
LENGTH({code})4 for the code ACMEIn CONCAT, an empty value becomes empty text, numbers are written as they are, and dates as 2026-07-15. A select field shows as an internal ID, so don’t use it to build readable text.
Dates
Function
Description
Example
Result
TODAY()Today’s date
TODAY()2026-07-15NOW()The current moment, with the time
NOW()A date and time
DATE("YYYY-MM-DD")A fixed date
DATE("2027-01-01")January 1, 2027
DATEDIFF(a, b, unit)a minus b; the unit is optional (days by default)
DATEDIFF({end}, {start}, 'days')The number of days between them
DATEADD(date, number, unit)Shifts the date
DATEADD({start}, 30, 'days')30 days later
Subtracting two dates
The same as DATEDIFF in days
{end} - {start}The number of days
Units: days, weeks, months and years, in the plural. Months in DATEDIFF are whole months. Adding a month to January 31 gives the last day of February.
Line items
Function
Description
Example
SUM_LINES({catalog})The sum of quantity × price for the lines of a smart catalog, before tax
ROUND(SUM_LINES({items}) * 1.15, 2)Ready-made recipes
Goal
Formula
Balance
{total} - COALESCE({paid}, 0)Completion rate
ROUND({done} / {planned} * 100, 1)Days until the end
DATEDIFF({end_date}, TODAY())Overdue?
IF({due} < TODAY(), "Overdue", "On time")Line tax, then the total
ROUND({net} + ROUND({net} * 0.15, 2), 2)Important client
IF({total} > 10000 AND {visits} > 3, "VIP", "Regular")Good to know
With dates, the only arithmetic allowed is a date minus a date. To shift a date, use
DATEADD.A date can’t be compared with a number or text.
An unknown function leaves the result empty.
One empty value in the formula makes the whole result follow the When Input Is Null setting.
