Edit a record: inline editing, status rules and save conflicts

Edit a cell right in the table, or open the record and edit its fields. Corteksa applies the status transition rules, and protects you from overwriting a teammate’s edit made before yours.

The edit permission on the unit and on this record
  • You need: The edit permission on the unit and on this record

Steps

1
Click a cell in the table and edit the value, or choose Edit from the row menu.
2
Or open the record and edit its fields in the Details tab.
3
Save.
Computed fields are calculated again, and the automations linked to editing run.
4
If some fields show as “updating”, they’re computed fields that Corteksa finishes calculating within seconds.

Status transition rules

A unit’s owner can set which stages a record can move to from each stage. The rule applies on the record page, when you drag a Kanban card, and in bulk edits.

If a move is refused, you see a message that names the allowed next stages.

A stage with no rule is open in every direction.

Save conflicts

If a teammate edited the same record after you opened it, Corteksa may refuse your save with the message “The record has changed since it was read”. Nothing is written, and the current values show. Reload and make your edit again.

Changing the assignee while editing

If you change the assignee and don’t have the assign permission, the other fields are saved and a notice says the assignee didn’t change.

If something goes wrong

What you see
Why
What to do
“The record can’t move from one stage to the other”
The status transition rules block this move.
Choose one of the allowed stages named in the message.
“The record has changed since it was read”
A teammate edited the same record before you.
Reload the page and make your edit again.
“You don’t have permission to edit this record”
The record is outside your access level.
The assignee change wasn’t saved
You don’t have the assign permission.
Ask for your role to be changed. See Assign a record to one or more people.

A real example

Shield Security Co.
The situation

Some employees moved contracts from “Quote” straight to “Completed” without a signature.

What they did
  1. The owner set the status rules: “Quote” can only move to “Signed” or “Rejected”.
  2. “Completed” became available only after “Signed”.
The result

Nobody can skip the signing stage anymore, not on the record page and not by dragging the card.

A made-up company, to show the idea. The numbers are rounded.

Good to know

Computed fields and the serial number can’t be edited by hand.
The edit permission follows your access level: Allowed, Team-wide access or If responsible.
Editing a record doesn’t change a field’s type. You change the type in the field’s settings.
