Link a session to a unit, so every new number gets a record

Choose the unit where a record is created for every new number that messages the session. Corteksa adds the fields the unit needs automatically, if they aren’t there yet.

4 min
Before you start · 1 thing · for owners
An active unit to hold new contacts
  • You need: The Update permission on the channel’s row
  • An active Cortex Unit, such as “Leads”.

Steps

1
Open WhatsApp Sessions and choose the session.
2
Press Select Units, choose the unit, then press Confirm.
Unit updated successfully shows.
3
To unlink it, clear the chosen unit and press Confirm.

Fields added automatically

When you link a unit, Corteksa makes sure it has 4 fields, and creates any that are missing:

Field
What it holds
Source
Where the client came from: WhatsApp Web, WhatsApp Cloud, Facebook, Instagram, TikTok. The values show with an “Auto” badge
WhatsApp Number
The client’s number
Session Name
The session they came from. It shows the session’s current name, even after it’s renamed
Provider ID
An internal number that links the record to the chat. Don’t edit it

If the unit already has a field of the same type or with the same name, that field is used, and no duplicate field is created.

When is a record created?

For every new one-to-one chat. Groups never create records. If the number already exists, Deduplication Control decides whether a new record is created or the chat is linked to the existing one. A new record with no assignee goes through the distribution rules.

Turn the unit on, or choose another one.
Chats arrive without a record
No unit is linked, or the chat is a group.
Link a unit. Groups don’t create records, by design.

There’s no duplicate check on the number.

A real example

Shield Security Co.
The situation

Every new number that messages the company should become a “Lead”, so the sales department can follow it up.

What they did
  1. They linked the session to the “Leads” unit.
  2. Corteksa added the “Source” and “Session Name” fields automatically.
  3. They built a view filtered on Source = WhatsApp Web.
The result

Every WhatsApp inquiry now becomes a record with its source, with no manual entry.

A made-up company, to show the idea. The numbers are rounded.

Good to know

A session links to only one unit at a time.
The unit must be active.
Chats that arrived before linking don’t get records automatically. See How a chat becomes a client record.
Changing the unit is recorded in the activity log.
