Save a move setup and track a record’s journey

Save your move decisions between two units so they apply automatically for the whole team. And review each record’s moves in its Logs tab.

3 min

Steps

1
When you move a record, tick Remember these choices for your two units (from → to) in Confirm Move. The setup is saved for that pair of units.
2
On the next move, it’s applied automatically, and a notice says the saved choices were applied.
3
If a notice says some saved choices “no longer apply and were skipped”, review them: a field or option was deleted since the setup was saved.
4
To delete the setup, press Clear saved mapping on the move screen.
5
For the move history, open the record’s Logs tab. See Review a record’s history.

How it works

There’s one setup for each pair of units. It’s shared by the whole workspace, and it records who last changed it.

In the Logs tab, a move shows as Moved, and an undone move as Reversed, with who did it and when.

Old links to the record redirect to its new place, if you can see that unit.

If something goes wrong

What you see
Why
What to do
“There’s no move setup between these two units”
The setup was deleted or never saved.
Save it on your next move.
An old link to the record doesn’t open
You can’t see the unit it moved to.
Ask the owner for the permission.

A real example

Basma Clinics
The situation

Three employees moved “Inquiries” to “Patients” in three different ways.

What they did
  1. The owner set up the move once and saved it.
The result

Every move between the two units is now done the same way.

A made-up company, to show the idea. The numbers are rounded.

Good to know

Saving a setup needs the add permission on the target unit.
You can’t save a setup that has the same unit as source and target.
