Update existing records and tag what you import
Turn on updating existing records and choose one matching field, so matching records are updated and the rest are created. You can tag every imported record, and choose to skip rows with errors or stop at them.
Steps
If one row matches several records, they’re all updated. Make sure the matching field is unique before you start.
How updating works
Mobile numbers are matched by digits only; email and text ignore letter case.
Only the columns you matched are updated. The assignee and created date of existing records don’t change. Rows that don’t match are created as new records.
Tagging
The tag is added to every created or updated record. If the tag doesn’t exist, it’s created once.
Skipping rows with errors
On: the valid rows are imported and the rows with errors are logged. Off: the import stops at the first row with an error.
If something goes wrong
A real example
Updating the insurance numbers of 900 existing patients.
- A file with only the mobile and insurance number columns.
- Update existing records by mobile, with the tag “Insurance update 2026”.
Only the insurance number was updated, with no other data changed, and the tag made the updated patients easy to filter.
