Filter a dashboard by date range, owner, group and stage

Change the date range, owner, group and stage for every widget at once. A dashboard installed from a template can open with default filters for everyone.

7 min

Steps

1
Open the dashboard and choose the date range from the filter bar.
2
Choose owners in Owner, groups in Group, or stages if you want.
Changing the filters saves nothing in the dashboard; the change stays only in the page’s link.

Available date ranges

Today, Yesterday, This week, Last week, This month, Last month, This quarter, Last quarter, This year, Last year, Last 7 days, Last 30 days, Last 90 days, Custom range (from–to, both days included), All time.

Date ranges are calculated in the workspace’s time zone and with its week start (Saturday, Sunday or Monday), not your device’s time zone. If the workspace hasn’t set a time zone, UTC is used.

The four filters

Filter
Matches
Notes
Date range
Each widget’s base date
On conversations: the time of the first message
Owner
The current primary owner
For conversations: the owner of the linked record
Group
The owner is a member of the group
Depends on your level: “Allowed” any group, “Team-wide access” your groups only, “If responsible” no group filter
Stage
The options of the dashboard’s “Stage field”
Shows only if the dashboard’s template set a stage field

Default filters

A dashboard installed from a template can come with a default value for each filter, and its copies keep them. They can’t be changed in the app. A filter you don’t change takes the default value; if you clear the list, you cancel it. Without a default date range, the workspace’s date range is used (This month by default).

The Stage field comes from the template too: one select field from a unit that one of the dashboard’s record widgets reads from.

“Not applied” notes

Note
Why
“This is a right-now count — the date filter doesn’t apply.”
“Unanswered chats” isn’t affected by the date
“This unit has no matching field for one of the active filters.”
A stage filter on a unit without that field
“This filter doesn’t apply to conversation widgets.”
Group and stage on a Conversation widget
“One of the active filters is outside what you can see.”
A group filter your level doesn’t allow
“This filter doesn’t apply to a feed over every unit.”
Group and stage on activity across all units

Speed

The dashboard with its default filters is cached and opens quickly. Any other combination is calculated fresh every time, so it may be slower (Automatic and manual dashboard refresh).

If something goes wrong

What you see
Why
What to do
“Invalid date range”
A date that doesn’t exist, or the start is after the end.
Correct both dates.
“Pick a range of … days or fewer.”
You passed the custom range limit.
Shorten it, or use “All time”.
“One of the active filters is outside what you can see.”
You chose a group your level doesn’t allow.
Choose only your own groups.
The stage filter isn’t showing
The dashboard has no stage field: only a template sets one.
Filter by that field inside the widget instead. See Widget basics: unit, measure, date and filters.

A real example

Basma Clinics
The situation

Each branch manager wants the same dashboard for their own branch.

What they did
  1. One shared dashboard with a default “This week” filter.
  2. Each manager chooses their branch’s group from the filters when they open it.
The result

One dashboard instead of 3, and each manager sees their own branch.

A made-up company, to show the idea. The numbers are rounded.

Good to know

A custom range is up to 1,830 days by default (31–3,660).
Each filter list holds up to 200 values.
The filters sent can be up to 4 KB by default.
